Our organisation has fifty employees. Four are Project Managers. We all regularly work on projects and use SharePoint. What will it cost us to implement PM Box so all employees may benefit from the PM Box project environment?

Our business is located across different geographic areas. We have distributed teams and project managers. They all use the same intranet SharePoint site located on a central server at headoffice. Do we need to purchase separate PM Box Application licenses for each geographic area?
A. No. PM Box Application license is linked to a SharePoint web application. More often than not, organisations with centralised SharePoint infrastructure do not have more than one SharePoint application.
Why is PM Box licensed per “application”? What is the relationship between a PM Box Application and a SharePoint web application (in Microsoft terminology)?
A. Site hierarchy in SharePoint starts with a “SharePoint web application”. In very simple terms, you can look at a SharePoint web application as the “root web address” of your intranet. Although possible, in most common SharePoint intranets, your projects will be usually housed on one SharePoint web application. You can tell this if your projects are always located at an address beginning with the same URL, for example: http://intranet.ourcompany/projects... you need only one PM Box license for these. However, if some of your project URLs start with a different address (for example, your Project East is located at http://usaeast.ourcompany/projects... and your Project West is located at http://usawest.ourcompany/projects...) you project sites could be located across more than one “web application”. This usually happens with larger SharePoint implementations and in this case you will need one PM Box license per SharePoint application (one for “usaeast” and one for “usawest”) If you have a larger SharePoint infrastructure, chances are you have IT support taking care of its health and maintenance. They should be able to tell you if your project sites are located across more than one SharePoint “web application”. For large SharePoint farms this could be a valid scenario, so please verify this before ordering PM Box Application licenses.
Apart from our own Project Managers, we often hire Project Management contractors. With all these regular project management staff changes, we want to make sure they follow the same rules and standards laid out by the PMO. Do we need to purchase separate PM Box Project Management licenses for the “non-permanent” project managers?
A. Yes. If you hire project management contractors, it is a good idea to allocate a PM Box Project Management license. That way each of your project managers will benefit from the PM Box Project Management Workbench and your organisation has peace of mind knowing the same rules and standards have been followed by every project manager, regardless of experience or employment type.
What happens to the PM seat licenses if our business structure changes?
A: If you need more PM seat licenses, you can purchase them at any time. Cost of licenses purchased after your annual license renewal date are priced on a pro-rata basis. For example, if your annual subscription period starts on 1st of January and you purchase additional licenses on 1st of July, you will only pay 50% of the price (half of the current billing cycle). If you need fewer PM seat licenses, it is simple to amend the number of licenses as part of the annual billing cycle.
